How to digitize a paper pilot logbook
The safe route is to keep the originals, capture clean images, turn each flight into structured data, review it against the page, reconcile the totals, and test the destination before moving the full history.
A folder of page photos is a backup. It is not yet a working digital logbook. To search flights, calculate totals, prepare an application, or move the history into ForeFlight or LogTen, each handwritten row has to become structured flight data.
I started building Quicklogs in 2023 after seeing pilot friends at my university flight school run into this exact problem. The lesson from that work is simple: automation can remove a lot of typing, but it should never remove the pilot's review.

Start with the reason you are digitizing
The destination and level of effort should follow the actual goal. A student pilot protecting a first logbook has a different need from an airline applicant reconciling several thousand hours. Write down what the finished record must do before choosing a tool.

- Search flights by date, aircraft, airport, or experience type.
- Produce totals for certificates, insurance, employment, or currency.
- Continue logging new flights in ForeFlight, LogTen Pro, or another electronic logbook.
- Preserve remarks, endorsements, and training context—not only total time.
If backup is the only goal, high-quality page images may be enough. If you need reports and totals, each flight must become structured data. If the logbook will support career applications, preserving line-level detail and reconciling totals becomes much more important.
Electronic records can support FAA recordkeeping
14 CFR §61.51 describes the aeronautical experience, training, and recent-flight information pilots must document. It does not prescribe one bound paper-logbook format. The responsibility remains with the pilot to keep accurate records in a manner acceptable to the Administrator.
Treat digitization as a controlled record transfer, not permission to discard evidence. Retain the paper books, especially original endorsements and signatures. Keep exports outside the logbook app, and make sure you can still retrieve the record if a subscription, device, or vendor changes.
Software may flag missing or inconsistent fields, but it cannot certify that a handwritten value is true. The pilot’s review is the final control.
Choose line-by-line transfer or catch-up totals deliberately
A summary or catch-up entry is the fastest way to establish an opening balance. It can be reasonable when the destination only needs broad totals and the original books remain available. The tradeoff is that the summary cannot answer detailed questions about aircraft, routes, approaches, instructors, or experience on a specific date.
Line-by-line transfer takes more effort but keeps the history useful. It supports aircraft-specific totals, applications, currency review, corrections, and spot-checking against the source. Pilots on a professional path usually benefit from retaining individual flights, even if older volumes are processed in stages.
Choose the destination before entering data
Field names and import rules differ. Decide whether the finished record will live in a spreadsheet, ForeFlight, LogTen Pro, another EFB, or a platform-neutral archive. Then inspect that destination’s current import template before doing bulk entry.
ForeFlight's official guidance says a paper logbook must first be converted into a digital file, and its importer accepts structured CSV or TSV data. See the paper-logbook guidance and the current import procedure.
Pay attention to date formats, airport identifiers, aircraft records, time categories, custom fields, approaches, and whether endorsements have a structured destination. A successful import is not the same as a complete mapping.

The goal is not “zero human involvement.” It is to spend human time on verification and exceptions instead of typing every unambiguous value.
Prepare and photograph the originals carefully
- Number the books and confirm the chronological order.
- Record the first and last date in each volume.
- Identify endorsements, signatures, inserts, and unusual custom columns.
- Use bright, even light without direct reflections on glossy ink.
- Place the camera parallel to the page and include all four edges.
- Reduce binding curl gently; do not damage the original to make a scan flatter.
- Check focus at full size before continuing to the next page.
- Keep filenames or upload order aligned with the physical page order.
A sharp image prevents avoidable ambiguity. Faded ink and unusual abbreviations may still need manual correction, but good capture ensures the digitization method is working from the best available evidence.
Preserve the fields that make the record useful
At minimum, verify the information relevant to your recordkeeping and future reports: date, aircraft type and identification, route or location, total duration, the conditions of flight, and the type of pilot experience or training. Then preserve the additional detail used by your destination and career path.

Reconcile pages before trusting the complete record
Review is more than reading for obvious spelling mistakes. Compare each page’s totals with the structured rows, check that dates remain chronological, and spot-check aircraft and route data against the source.
- Confirm no row was skipped, duplicated, or assigned to the wrong date.
- Recalculate page totals independently from the imported values.
- Investigate components that exceed total duration.
- Check partial dates, ditto marks, overwritten values, and carried totals carefully.
- Verify structured approaches include the runway and airport where available.
- Keep corrections traceable to the page image.
Work in bounded batches. Finishing and reconciling ten pages is safer than scanning a hundred and postponing every check until the end.
Test the destination import with a small batch
Back up the destination logbook first. Export a handful of known flights, import them, and inspect the result inside the destination—not only in its preview. Check aircraft linkage, date formats, time categories, landings, remarks, approaches, and custom fields.
If the test is correct, record the imported cutoff and proceed in deliberate batches. ForeFlight warns that importing the same rows repeatedly can create duplicates. The safest deduplication strategy is a clear record of what was exported and imported.

Avoid the mistakes that create a second logbook cleanup
- Scanning the entire library before testing whether the hardest pages are readable.
- Treating page photos as searchable flight records.
- Accepting raw OCR without comparing each row with the source.
- Choosing a destination after the fields have already been entered.
- Dropping remarks, approaches, aircraft details, or custom columns because they are inconvenient to map.
- Importing a complete history before testing a small known batch.
- Submitting the same date range twice and creating duplicates.
- Discarding original books or keeping the only backup inside one app.
Most conversion failures are not caused by one unreadable word. They come from scaling an untested process. Finish a small batch, prove that the totals and destination mapping work, then repeat it.

Keep the paper books and independent digital backups
Preserve the original logbooks in a dry, secure location. Keep a complete set of page images, a platform-neutral export such as CSV or JSON, and the destination logbook’s own backup. Store at least one copy somewhere other than the device you use every day.
Re-export after meaningful corrections or additions. A digital logbook is most resilient when no single app, account, or device is the only place the history exists.

- Are electronic pilot logbooks acceptable?
